Operations Associate
USA for UNFPA, established in 1998 and headquartered in New York City, is the U.S. national committee for UNFPA, the United Nations Sexual and Reproductive Health Agency. We work to achieve three transformative results: zero unmet need for family planning, zero preventable maternal deaths, and zero incidents of violence toward women and girls, including harmful practices like child marriage and female genital mutilation.
TITLE: Operations Associate
REPORTS TO: Senior Operations Manager
LOCATION: Hybrid, NYC Metro Area
EMPLOYMENT TYPE: Full-Time, Employee
SALARY RANGE: $50,000 to $60,000 commensurate with experience
POSITION SUMMARY
USA for UNFPA is seeking a highly organized, proactive, and detail-oriented Operations Associate to support the day-to-day administrative and operational functions of our small but growing and dynamic organization. The Operations Associate will play a key role in ensuring smooth internal workflows, supporting cross-functional projects, and contributing to the overall efficiency and effectiveness of the organization.
KEY AREAS OF RESPONSIBILITIES
Operations & Administration
- Support daily operational and administrative functions across departments
- Assist with maintaining organizational systems and databases
- Provide logistical support for meetings, events, and internal communications
- Help coordinate organizational calendars and scheduling
- Support Manager on tasks related to the office premise and IT
Finance & Reporting
- Assist with processing invoices, expense reports, and reimbursements
- Assist with maintaining financial records and preparing organizational reports and filings
- Ensure vendor and consultant contracts are tracked and organized
- Support the Manager with maintaining any third-party platforms, including submitting information for Charity Rating Platforms
- Support the Manager with state registration and other compliance
- Assist the Manager with any other financial reporting
HR & Team Support
- Support the Manager with the hiring and onboarding process
- Help facilitate onboarding for new staff, interns, or consultants
- Support with staff engagement initiatives and internal culture-building activities
- Support the CEO and Manager with organizing the staff retreat and other HR trainings
Project Support & Other Duties
- Track project timelines and deliverables
- Assist with preparing ad hoc reports and materials
- Step in to support colleagues across the team when operational needs arise
- Contribute to process improvement and efficiency initiatives
- Assist the CEO with specific administrative tasks
EXPERIENCE & QUALIFICATIONS
- Bachelor’s degree or equivalent combination of education and experience.
- 2+ years of administrative, operations, or project coordination experience (nonprofit preferred)
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite, Google Workspace, and project management tools
- Ability to handle confidential information with discretion
- A collaborative mindset with a willingness to pitch in where needed
- Commitment to the mission and values of UNFPA and global reproductive health and rights
